Share a File

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file you want to share.
  4. Select Manage Share.
  5. In the prompt, enter the user name(s) or group(s) you want to share the file with.
  6. Click Close.

Files can only be shared with groups you are a member of.

Icon Confirmation
A blue share icon () confirms the file is shared with one or more users or groups.
No File Selection
No items selected.

You must select the file before sharing it.
Failed to Share File with User
Failed to share file with user-name: Session not authorized to interact with project.
Add User to Project
You must add the user to the project associated with the file's tag for them to access it.
Failed to share file with User
Failed to share file with user-name: Session not authorized to interact with project.
Certify User for the Project
You must certify the user for the project associated with the file's tag to allow access. All projects' security requirements must be satisfied.
Failed to Update Expiration
Failed to update expiration: Session not authorized to interact with project.
Add User to Project to Update Expiration
You must add the user to the project associated with the file's tag to be able to update expiration
User Still Has Access After Revoking Certification
User still has access to a shared project-tagged file after admin revoke their project certification.
The Project Does not Have Security Levels
Admin must either add a security level to the project to make the user certifications active or remove the user's project membership.

Share a File for a Limited Time

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file you want to share for a limited time.
  4. Select Manage Share.
  5. In the prompt, enter the user name(s) or group(s) you want to share the file with.
  6. Tick the Allow Expiration box and enter a share expiration date for the appropriate user or group.
  7. Click Close.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with group.
  6. In the prompt, enter the group name you want to share the files with.
  7. Select an expiration date.
  8. Click Share.

Method three:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with user.
  6. In the prompt, enter the user name you want to share the files with.
  7. Select an expiration date.
  8. Click Share.

You do not have the File Access Keys
Failed to access file: All available keys for this file are expired.
Ask Your Admin to Update Your File Share Expiration Date
You must ask your admin to update your file share expiration date. If you were shared limited time access to a file you must renew access to the file upon expiration.

To Admin
The project that tags the file has at least one security requirement which you or your user do not satisfy. Check user certification status for all security requirements in project (and subprojects, if applicable). Additionally, ensure the user has been granted view file permissions for the project-tagged file.

Share a File with View Restrictions

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file you want to share with view restrictions.
  4. Select Manage Share.
  5. In the prompt, enter the user name(s) or group(s) you want to share the file with.
  6. Under Restrictions, tick Cannot view box next to the user or group.
  7. Click Close.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with group.
  6. In the prompt, enter the group name you want to share the files with.
  7. Select an expiration date.
  8. Select Restrictions and tick the Cannot view option.
  9. Click Share.

Method three:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with user.
  6. In the prompt, enter the user name you want to share the files with.
  7. Select an expiration date.
  8. Select Restrictions and tick the Cannot view option.
  9. Click Share.

You must ask your admin to give you file view permissions upon sharing.

Share a File with Download Restrictions

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file you want to share with download restrictions.
  4. Select Manage Share.
  5. In the prompt, enter the user name(s) or group(s) you want to share the file with.
  6. Under Restrictions, tick Cannot download box next to the user or group.
  7. Click Close.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with group.
  6. In the prompt, enter the group name you want to share the files with.
  7. Select an expiration date.
  8. Select Restrictions and tick the Cannot download option.
  9. Click Share.

Method three:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with user.
  6. In the prompt, enter the user name you want to share the files with.

Share a File with Edit Restrictions

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file you want to share with edit restrictions.
  4. Select Manage Share.
  5. In the prompt, enter the user name(s) or group(s) you want to share the file with.
  6. Under Restrictions, tick Cannot edit box next to the user or group.
  7. Click Close.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with group.
  6. In the prompt, enter the group name you want to share the files with.
  7. Select an expiration date.
  8. Select Restrictions and tick the Cannot edit option.
  9. Click Share.

Method three:

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select multiple files you want to share.
  4. Click the Open Full Menu button in the top center panel.
  5. Select Share with user.
  6. In the prompt, enter the user name you want to share the files with.
  7. Select an expiration date.
  8. Select Restrictions and tick the Cannot edit option.
  9. Click Share.

File share restrictions are active undefinitely until you turn them off.

You can apply multiple restrictions simultaneously when sharing a file.

Unshare a File

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the My files section on the left panel.
  3. Select the file that you want to unshare.
  4. Select Manage Share.
  5. In the prompt, click the Unshare button next to the user name(s) or group(s) you want to unshare the file with
  6. Click Close.
caution

Unsharing a file is permanent. You will lose access to the file unless it is re-shared with you.

Ask System Admin to Remove You from Project
You must ask your system admin to remove you from the project. If the project is deleted, obsolete, or inactive, the admin who originally shared the file with you must also remove your access.

View Files Shared by You

  1. Go to the Vault icon in the top left panel.
  2. Click Shared By Me section on the left panel.
  3. View all files and directories you have shared with other users or groups.

View Files Shared with You

  1. Go to the Vault icon in the top left panel.
  2. Click Shared With Me section on the left panel.
  3. View all files and directories shared with you by other users or groups.
